SAFEBITE · PRACTICAL GUIDE
Preparing your food-safety records for an inspection in Luxembourg
Preparation starts with records that reflect the work your team actually performs. This guide focuses on organising and retrieving information. It is not an official inspection checklist or a substitute for the requirements and instructions applicable to your establishment.
Review the records your team already keeps
- Temperature histories: can you find readings for the relevant equipment and period?
- Cleaning records: are completed tasks and outstanding work easy to identify?
- Deliveries and traceability: can you retrieve the supplier, batch and date information you recorded?
- Deviations: is the issue documented together with the action taken and its follow-up?
- Procedures and supporting documents: can the responsible person retrieve the current versions?
Check completeness without rewriting history
Review recent records before assembling a report. If information is missing, identify the gap and handle it through your internal procedure. Do not invent readings, backdate checks or present unverified information as a completed control.
Confirm that the team knows where records are stored and who can retrieve them. When several people work across shifts, a clear handover helps the responsible person understand what still needs attention.
Make the information easy to retrieve
Group records by establishment, equipment or activity and period. Test whether you can find an individual check, the associated deviation and the follow-up without searching several unrelated folders.
SafeBite helps centralise temperature checks, cleaning, receptions and reports. Before relying on any export, verify the period, establishment and completeness of the underlying records. A report is only as useful as the information the team records.
Separate preparation from compliance decisions
Your activities and procedures determine which controls and evidence are relevant. Confirm specific requirements with the competent authority or a qualified professional. Using SafeBite does not constitute certification or a guarantee of a successful inspection.
